Privacy & data

How this website handles your information, reference files and contact requests.

Who is responsible for your data

STT SYSTEM INDUSTRY Sp. z o.o., ul. Tytusa Chałubińskiego 8, 00-613 Warsaw, Poland, is the data controller for this website and enquiries sent to STT.

For privacy questions and requests concerning your personal data, contact orders@sttsystem.pl or write to the address above.

Information you provide

We receive your name, work email, enquiry type and message, together with any company, industry, component reference or other details you choose to provide. A company name is required for a catalogue access request.

Providing information is voluntary. We need the required fields to process an enquiry through the form; without contact details we cannot reply. Please include only information relevant to your request, not passwords, identity documents or sensitive personal data.

Why we use your information

We use enquiry information to understand your requirements, answer questions, prepare offers and arrange parts, service or manufacturing work. Where you request steps before entering a contract with us, the basis is Article 6(1)(b) GDPR. For business representatives and general enquiries, we rely on our legitimate interest in responding to correspondence and managing business relationships under Article 6(1)(f).

We also rely on legitimate interests to protect the website from misuse and establish, exercise or defend legal claims. Where records are required by law, Article 6(1)(c) applies. Sending an enquiry does not subscribe you to marketing or grant catalogue access. We do not make decisions with legal or similarly significant effects about you solely by automated processing.

Reference files

This form does not upload attachments. To arrange transfer of a drawing or photograph, send your enquiry first or contact STT by email. Files later provided by email remain part of that correspondence and are not published on the website.

How your enquiry reaches STT

The form sends your enquiry over HTTPS to our website service, which emails it to orders@sttsystem.pl. Your email address is used as the reply address. The website does not maintain a separate customer enquiry database or write message contents to application logs. Correspondence is retained in the STT mailbox.

Our service uses temporary technical records, including your IP address, to limit abusive submissions, and a request identifier and message digest to prevent duplicate submissions. These records are held in server memory, not browser storage. Email and telephone links open your own applications; their services handle any messages or calls you make there separately.

Service providers and international processing

Authorised STT personnel handle enquiries. Amazon Web Services provides the website infrastructure in the Frankfurt region, and home.pl provides our email service. Hosting and email providers process data needed to deliver, secure and support those services. We may also disclose necessary information to professional advisers or authorities where required by law.

Selecting an EU hosting region does not by itself exclude all access or support processing outside the European Economic Area. AWS provides contractual safeguards in its Data Processing Addendum, including standard contractual clauses where applicable. Contact us for information about the safeguards relevant to your data or a copy of them.

How long information is kept

Enquiry correspondence is kept for the time needed to answer and follow up your request. If it leads to an order, relevant records are kept for the contract, applicable accounting or tax obligations and the period needed to establish, exercise or defend claims. These purposes and the applicable statutory periods determine retention; information no longer needed for them should be deleted.

The website has no permanent enquiry archive. Duplicate-submission records expire after 24 hours and per-client abuse limits use a 15-minute window. Expired entries are cleared on subsequent requests or when the service restarts. These technical limits do not delete email correspondence; deletion requests are handled through the contact above.

Your rights

Subject to the conditions in the GDPR, you can request access, correction, deletion, restriction of processing and data portability. You can object, on grounds relating to your situation, to processing based on our legitimate interests. If processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.

Send your request to orders@sttsystem.pl. We may need proportionate information to verify your identity. You can lodge a complaint with a competent supervisory authority, including the President of the Personal Data Protection Office in Poland (UODO, uodo.gov.pl).

Cookies and website resources

This website does not use analytics, advertising trackers or tracking cookies. Fonts, images and map data are served with the website rather than loaded from third-party tracking services. The enquiry form does not store its contents in cookies or persistent browser storage.

Hosting, network and email infrastructure processes connection and security information necessary to operate the services. A statement that we do not use tracking cookies does not mean that no technical data is processed.
